Record a Payment

A payment records money received against an invoice, so you always know how much has been paid and how much is still owed. You can record several payments on one invoice — a deposit and a final balance, for example — and edit or delete them later.

Record a payment

  1. Click Invoices in the left sidebar.
  2. Find the invoice, open its actions menu and click Record payment. This option is only available once the invoice has been marked as sent — see Create an Invoice.
  3. Fill in the payment details:
    • Amount received: starts at the balance due. Change it if the client paid a different amount, for example a partial payment.
    • Tax withheld (optional): an amount the client withheld for tax. It counts towards settling the invoice.
    • Paid on: the date the payment came in. Defaults to today.
    • Payment method: Cash, Bank transfer, Card, Cheque or Other.
    • Reference (optional): a cheque number or transfer ID, so the payment is easy to find later.
    • Notes (optional).
    • Receipt (optional): attach a PDF, PNG or JPEG up to 10 MB.
  4. Click Record payment.

The payment is added to the invoice and the balance due goes down. When the payments settle the full amount, the invoice is marked as paid automatically; until then it stays as sent, so you can record more payments as the rest comes in.

Edit or delete a payment

Every payment is listed under Payments in the left sidebar, with its date, invoice, customer, method and amounts.

To edit a payment, open its actions menu and click Edit, update the details or replace the receipt, then click Save payment.

To delete a payment, open its actions menu and click Delete, then confirm. The amount is taken off the invoice, so the balance and status update — if the payment you removed was covering the invoice, it goes back from paid to sent.

Good to know

  • Payments can only be recorded on invoices that have been marked as sent. Draft and voided invoices don't show the option.
  • A payment needs an amount received, a tax withheld amount, or both.
  • You can record as many payments as you like on one invoice — useful for deposits and part payments.
  • Use the search box on the Payments page to find a payment by reference or invoice number.
